The Challenge
Across Bank of Cyprus branches and central services, a large volume of documents and operational records is generated daily. These documents are regularly packed into archive boxes and transferred to internal or external storage facilities.
At the same time, physical customer files containing sensitive and critical information circulate between multiple departments before being stored in central archives. The management of this process relied heavily on manual handling, offering limited visibility, increased operational effort, and significant challenges in accurately tracking the location and status of each archive box or customer file.
Ensuring efficiency, security, and full compliance with the bank’s strict governance and authorization policies required a modern, structured, and highly controlled approach to physical archive management.
The Solution
BOSS (Bank Operations Storage System) was designed and implemented to fully modernize the management of the Bank of Cyprus physical archive, covering both archive boxes and individual customer files.
The solution introduced barcode-based unique identification for boxes, folders, and contents, enabling precise tracking of every physical asset. All movements are recorded in real time, providing full visibility of archive flows between branches, departments, and storage facilities.
BOSS also incorporated comprehensive logistics and geographic storage functionality, organizing warehouse spaces by exact physical location and automating storage, retrieval, and handling processes. The system was fully aligned with the bank’s existing authorization and clearance policies, maintaining the same high level of security and access control.
In addition, a complete activity logging mechanism was implemented to capture the actual time employees spend handling archive material, offering valuable insights for operational optimization and workload analysis.
