The Challenge

L’Oréal needed a controlled and efficient way to support monthly employee purchases at wholesale prices with additional discounts. This process involved significant complexity, including multiple employee profiles, strict quantity limits, and differentiated commercial rules.

The core SAP ordering system could not support this scenario, as it is designed exclusively for standard wholesale operations. Integrating employee orders directly into SAP would introduce operational risks, increased warehouse load, and limited flexibility in business rule management.

At the same time, the solution needed to ensure:

strict control over product eligibility and quantities,

centralized discount and pricing management,

seamless SAP integration for availability and fulfillment,

and high efficiency in warehouse picking and distribution.

The challenge was to design a standalone yet fully integrated platform capable of handling complex employee ordering workflows, while protecting the stability and performance of the core ERP environment.

The Solution

To address this requirement, the EOS (Employees Ordering System) was designed and implemented as a standalone yet fully SAP-integrated employee ordering platform, consisting of a modern internal e-commerce website and a robust back-office application.

The website provides a user-friendly environment where employees can browse products using advanced filters, view pricing and promotions, and progressively build their shopping carts throughout the month. All business rules are dynamically enforced, ensuring full compliance with corporate commercial policies.

At month-end, employee orders are automatically consolidated per Division and transmitted to SAP. The confirmed deliveries returned from SAP are then used by the back-office system to generate executable orders.

The back-office application manages the complete fulfillment workflow, including order creation, optimized picking through specialized grouping algorithms, full item scanning validation, and shipment consolidation per office location. It also offers centralized configuration of business rules and comprehensive reporting for warehouse operations and finance teams.

Automated synchronization routines ensure consistent and reliable data exchange with SAP, completing a seamless end-to-end solution.
